Exchange Hosting - Forward Email From A Mailbox

Active Exchange services, see Add Hosted Services.

 

Summary

This article details how to enable email forwarding from a mailbox.

 


 

Add a Forwarding Address to a Hosted Mailbox:

1. In a web browser navigate to the ITSolutionsNow services control panel:  https://cp.myhostedsolution.com/

2. Click on Hosted Organizations.

3. Click on the organization name.

4. The organization home page will now be displayed. On the left side of the page the active services will be displayed, under the Exchange section click Mailboxes.

5. After the Mailboxes section loads locate and click on the mailbox name that will be configured for forwarding to view its properties.

6. Click on the Mail Flow Settings tab, then under the Forwarding Address section check Enable Forwarding. Once that box is checked the Forward To section will appear, click the small address book icon to the immediate right of the text field to open global address list.

7. With the global address list now open, select either a mailbox, contact, or distribution list to forward the mail to by clicking on it. In the example image provided below, the three group types or displayed and may be distinguished by their symbols. The individual mailbox is displayed as a single person, the distribution group as two people, and the external contact as a person next to a globe.

8. The window will close and will return to the Mail Flow Settings tab. Verify that the correct name is in the forwarding field, and then click the Save Changes button to finish the setup.

Forward Email to an External Recipient Without A Hosted Mailbox:

1. First ensure that an account contact has been created. Please reference the steps detailed in the support article, Create An Account Contact, if one is not setup already.

 

2. In a web browser navigate to the ITSolutionsNow services control panel:  https://cp.myhostedsolution.com/

3. Click on Hosted Organizations.

4. Click on the organization name.

5. The organization home page will now be displayed. On the left side of the page the active services will be displayed, under the Exchange section click Distribution Lists.

6. After the Distribution Lists section loads click the Create New Distribution List button.

7. Enter the following information for the distribution list:

  • Display Name: The name of the group to appear in the control panel, and in auto-complete.
  • E-mail Address: Alias and domain for the distribution list. The domain may be specified via clicking the arrow on the right, and selecting the appropriate domain from the list. The email address selected will be the one used when forwarding to the external contact
  • Managed By: Click the address book to load the global address book for the organization and select a name. Designate the distribution list manager by clicking on the user's name.

Review the accuracy of the information entered, and then click Create Distribution List.

8. The newly created distribution list will now need to have the external contact added as a member To add the contact click the Add... button in the middle of the page.

9. Once again a window with the organizations global address list will be displayed. Select the external contact by Checking the boxes next to the name, and then clicking the Add Accounts button.

10. After the contact is added the distribution list properties will be displayed again, verify that the contact selected now appears as a member. Click the Save Changes button to complete the setup of the distribution list..
